Privacy policy

1. Who we are
The groupeaccueil.ca website is operated by Groupe Accueil International Ltée, 1538, avenue du Docteur-Penfield, Montréal (Québec) H3G 1B9. We protect your personal information in accordance with Québec’s Act respecting the protection of personal information in the private sector (Law 25), applicable Canadian laws and Canada’s Anti-Spam Legislation (CASL).
2. Person in charge of the protection of personal information
Nadim Hanna, General Manager, info@groupeaccueil.ca
You can contact this person with any question about this policy, to exercise your rights (access, correction, withdrawal of consent) or to file a complaint.
3. Information collected and purposes
We only collect the information needed for the purposes below, directly from you:
- Contact form, visit requests and rental assistant: name, email, phone, type of home or space sought, building, dates, budget and message. Purposes: answer your request, arrange a visit and offer you a unit.
- Job applications: first name, last name, email, phone, position, message and résumé. Purpose: review your application.
- Newsletter: email, language and proof of your consent (date, IP address and text accepted). Purpose: send you our newsletter, once you have confirmed your subscription.
- Tenant service requests: made in the Building Stack app, under its own terms.
- Technical data: IP address and browsing data needed for the website to work and stay secure (for example to block automated submissions and spam).
We do not sell your personal information and do not use it for other purposes without your consent, unless the law allows it.
4. Consent
By sending us a form, you consent to the use of your information for the purposes stated at the time of collection. You may withdraw your consent at any time by writing to the person in charge (section 2). Every newsletter includes an unsubscribe link.
5. Who has access to your information?
Only the members of our team who need it (leasing, building management, recruitment) have access. We also use service providers to host the website and send emails; they may only use your information to provide that service to us.
Communication outside Québec: some providers or services mentioned in this policy may store information elsewhere in Canada or in the United States. Before communicating personal information outside Québec, we assess the privacy-related factors and make sure it will receive adequate protection.
6. Third-party services on the website
These services may collect your IP address and technical data under their own policies:
- Google Maps: access maps on building pages and the Student rooms page. Viewing these pages sends data (including your IP address) to Google.
- OpenStreetMap: background of the maps on the Residential and Commercial pages. Map images come from OpenStreetMap servers, which receive your IP address.
- YouTube and Vimeo: videos, loaded only when you start playback (the home page background video is hosted on our website).
- Matterport: 3D virtual tours, loaded only when you start a tour.
- Google reCAPTCHA: “I’m not a robot” box that protects the forms (contact, visit requests, rental assistant, job application) against bots. It is only loaded when you reach a form.
7. Retention
- Requests (contact, visit, assistant): 24 months after our last exchange. If a lease is signed, the tenant file is kept as required by law.
- Applications and résumés: 12 months at most, then destroyed.
- Newsletter: until you unsubscribe. Proof of consent is kept for 3 years afterwards, as required by CASL. Unconfirmed subscriptions are deleted after 30 days.
- Technical security data: a few hours.
At the end of these periods, the information is destroyed or anonymized.
8. Security
We take reasonable measures to protect your information: encrypted connection (HTTPS), access limited to authorized people and forms protected against automated submissions. If a confidentiality incident presents a risk of serious injury, we notify the Commission d’accès à l’information and the people concerned.
9. Your rights
You may request access to your information, its correction or its deletion when it is no longer needed, withdraw your consent, ask that its dissemination cease and obtain your information in a structured, commonly used technological format. Write to the person in charge (section 2): we answer within 30 days. If you are not satisfied with our answer, you may contact the Commission d’accès à l’information du Québec.
Cookie policy
A cookie is a small file saved by your browser. We use:
- Essential cookies: website operation, security, administrator login and remembering your choices (language, consent). They cannot be turned off.
- Analytics or marketing cookies: only if you accept them in the consent window. They are off by default.
You can change your choices at any time in the consent window or in your browser settings. The third-party services in section 6 may set their own cookies when they are displayed.
